How the event shuttle bus calculator works
Trips are guests divided by seats, rounded up. Each trip is a round trip — out, unload, back — so with one bus the total time is trips × round-trip minutes minus the final return. Spread across several buses running in parallel the time divides. Work backwards from the window you have (say, everyone at the venue within 90 minutes of the first departure) for the number of buses to book.
Formula: trips = ceil(guests ÷ seats); time = ceil(trips ÷ buses) × round trip − return leg; buses needed = ceil(trips ÷ floor(window ÷ round trip))

FAQFrequently asked questions
What round-trip time should I use?
Twice the one-way driving time plus five to ten minutes of loading at each end — guests are slow. A 10-minute drive is usually a 30–35-minute round trip.
Why subtract half a round trip?
The last bus does not need to come back: everyone has arrived once it unloads. The out leg plus loading is about half the round trip.
Should I book bigger buses or more of them?
More small buses finish faster in parallel and cope with late guests; one coach is cheaper and simpler if the window is generous. Run both options through the calculator.
What about the return at the end of the night?
Departures spread out naturally, so one bus looping every 30 minutes often serves; the crunch is the last departure when everyone leaves at once — plan that like the arrival.
