How the support cost per customer calculator works

Support is usually inside cost of revenue, so it comes straight off gross margin. Divide the team's monthly loaded cost by the customers and you have the cost per customer; against monthly revenue per account that is a percentage of ARPA, and it is the difference between the margin the product earns and the margin the company reports. Tickets per customer per month says whether the cost is a headcount problem or a product problem.

Formula: cost per customer = team cost / customers; margin after = margin before − cost per customer / ARPA

Is support in cost of revenue?

Under most software accounting, yes — the people who keep customers using the product are a cost of delivering it, alongside hosting. That is why it comes off gross margin, not operating margin.

What share of revenue is normal?

Five to twelve per cent for subscription software with a self-serve product; more for complex enterprize tools, less for high-ARPA accounts. Above twenty the margin story is a support story.

What is a good customers-per-agent ratio?

Hundreds for self-serve products, dozens for enterprize. The number to watch is tickets per customer per month, because it says whether the product or the team is the cause.

How do I bring it down?

Fix the product defects and confusing flows that generate tickets, add help content that deflects the rest, and tool the team so handle time falls. Hiring is the last lever.

What does tooling include?

The helpdesk, chat, knowledge base and any AI assistance — per seat or per ticket. It is usually small beside salaries but grows with the team.
